Agency Rank Tracking: Setup, Costs and Tools for Clients

By Fenn8 min readAgenciesToolsGuides

Agency rank tracking needs four things a single-site tracker does not: many projects in one account, client-facing reports, access for clients without sharing a login, and a price that divides cleanly across retainers. As of November 2026, Wincher Standard ($89 a month, unlimited websites, white-labelled reports) suits small agencies, SE Ranking Growth ($279 a month, 30 projects, Agency Pack $69 extra on annual billing) suits agencies that want a full suite, and Nightwatch Professional (€159 billed yearly, 25 websites, 2,500 keywords, unlimited seats) suits teams that want every seat included. Set each client up with a capped keyword list, one location per market and a fixed report date.

Agency Rank Tracking: Setup, Costs and Tools for Clients

Prices and limits come from each vendor's own pages, read on 2 November 2026 through a US connection. Nightwatch shows euros. If you want a straight list of white-label tools, our white-label rank tracker comparison goes deeper; this guide covers how to run tracking across clients.

AgencyAnalytics also sells rank tracking to agencies inside its reporting platform, covering Google, Bing, Google Mobile and Google Local with SERP snapshots and competitor data. Its pricing page did not load through our reader, so we describe it without a price.

What it costs per client

The useful number for a retainer is cost per client. This is our arithmetic from the list prices above, assuming each client fills an equal share of the plan.

Agency sizeKeywords per clientPlanMonthly totalPer client
5 clients100Wincher Basic (500 keywords, up to 10 websites)$49$9.80
10 clients100Wincher Standard (1,000 keywords)$89$8.90
10 clients200SE Ranking Core plus Agency Pack$172.20 on annual billing$17.22
25 clients100Nightwatch Professional€159 billed yearly€6.36
25 clients200SE Ranking Growth plus Agency Pack$292.20 on annual billing$11.69

Note that Wincher's Basic plan excludes white-labelled reports and on-demand updates, and is limited to one user. Wincher's plan prices also rise with the keyword limit you choose.

How to set up rank tracking for a new client

  1. Agree the keyword list with the client, and cap it. Split it into money keywords, which you will report by name, and a monitoring set, which you report as a group.
  2. Map each keyword to the page you expect to rank. A tracker's target URL field exposes cannibalisation early. Ahrefs and others let you set a target URL per keyword.
  3. Choose one location per market and one device. Add a second device only where the client's buyers really differ. Most trackers bill each combination.
  4. Add 3 to 5 real search competitors, not the client's commercial rivals by default. Limits differ by plan: Wincher allows 5, 10 or 20 per website, Nightwatch 5, 10 or 15.
  5. Tag keywords by service line or landing page so reports can group them.
  6. Connect Search Console where the tool supports it, so you can compare tracked positions against real impressions.
  7. Record a baseline in the first week and fix a report date. Do not compare the first few days, when history is thin.

What to check before you commit

Client access

SE Ranking allows only one active session per login, so shared logins fail by design: use seats or view-only guest links. ProRankTracker's Pro plan adds a clients app. Keyword.com's white-label add-on includes password-protected shared reports.

Reporting

Check scheduled reports, your logo, your domain, and whether the export matches what the client sees. Wincher offers scheduled and customisable PDF reports on every plan, and white-labelled reports from Standard. If you already report through Looker Studio, confirm the connector: Nightwatch includes it from Professional, and ProRankTracker from Pro.

Moving your data

Agencies change trackers more often than they expect. Wincher lists position history import from Standard, Ahrefs says you can import rankings from Site Explorer into Rank Tracker with their history, and SE Ranking offers free migration on an annual subscription. Ask how exports work before you need them.

API and bulk work

If you build your own dashboards, look at API limits early. Nightwatch's API starts on Professional, Advanced Web Ranking's Developer API is listed on Agency, ProRankTracker's on its Agency tier, and AccuRanker's Expert plan includes an unlimited read API. Our rank tracking API guide compares them.

Mistakes that make agency tracking expensive

  • Importing every keyword a client has ever mentioned. Use Search Console for the long tail.
  • Tracking every city and both devices by default, which multiplies the bill for data nobody acts on.
  • Reporting daily wobble. Rankings move day to day; report weekly or monthly trends with the work you shipped beside them.
  • Treating position as the outcome. Clients pay for leads and revenue, so put clicks and conversions next to rankings.
  • Letting the plan's keyword limit decide the strategy. If a client needs more than you budgeted, reprice the retainer rather than thinning every other client's list.

Where Fenn fits for agencies

Rankings no longer cover everything a client asks about, because buyers also ask assistants. Fenn does not track rankings. It asks ChatGPT, Claude, Gemini, Perplexity and Grok the questions a client's buyers ask, when you start a check, reports who is named and which sources are cited, and drafts site fixes and pages for approval. Reports can be copied, printed or exported to CSV, and are not white-labelled. The Agency plan is $199 a month for up to 25 websites, set up after a demo, and it sits beside a tracker rather than replacing one.

FAQ

What is the best rank tracker for a small agency?

It depends on client count. For up to about 10 clients with modest keyword lists, Wincher Standard at $89 a month includes unlimited websites and white-labelled reports. If you also want research and audits in one tool, compare SE Ranking Core with the Agency Pack.

How many keywords should an agency track per client?

There is no standard number. Track what you would act on and report by name, and use Search Console for everything else. Set a cap in the contract so the plan's cost stays predictable.

Should clients get their own login?

Prefer a branded report or a view-only link unless a client wants to work in the tool. Check how each vendor handles guests, since seat rules differ.

Do agencies need daily rank tracking?

For pages you are changing, usually yes. For stable monitoring keywords, weekly is often enough and costs less. Many clients only read a monthly summary.

How do agencies charge for rank tracking?

Usually inside the retainer. Work out your cost per client from the table above and include it in the fee rather than itemising it, then set a keyword cap so it stays covered.

Put this to work on your own website.

Fenn finds what your customers ask, drafts the articles and site fixes, and measures what ChatGPT, Claude, Gemini, Perplexity and Grok say about you — with every change waiting for your approval.
