7 Best SEO Project Management Tools in 2026
There is no SEO-specific project tool that most agencies use; they run SEO in a general work manager set up for recurring tasks, client visibility and retainer hours. As of October 2026: ClickUp (from $7 a user a month billed yearly, with a free SEO project template), Asana (from $10.99, unlimited free guests on paid plans), monday.com (from $9 a seat, sold in seat bundles from 3), Teamwork.com (from $9.99 a user with free client users and retainer tracking), Trello (from $5), Notion (from $10) and Basecamp (flat from $25 a month, unlimited users from $59). Pick on two questions: how clients see the work, and how you track hours against a retainer.

Prices and limits below come from each vendor's own pricing, template and help pages, checked on 12 October 2026, in US dollars before tax. They are 'as of October 2026'. Several vendors show different prices for monthly and yearly billing; both are given where the page shows both.
What SEO work needs from a project tool
SEO is mostly recurring work with a few large projects in between. A monthly retainer repeats the same tasks (rank and traffic review, a crawl, content briefs, link outreach, the client report) and adds one-off projects such as a migration or a technical clean-up. That pattern makes five features matter more than the rest.
- Recurring tasks, so the monthly checklist recreates itself for every client.
- Client access that does not cost a full seat, so clients can see progress and approve items.
- Time tracking or budgets, so you can see when a retainer is over-serviced.
- Templates, so a new client starts from a known checklist rather than a blank board.
- Automations, so status changes notify the right person without a manual message.

The tools, one by one
ClickUp: most built-in structure for SEO
ClickUp publishes free SEO Project Management, SEO Checklist and SEO Roadmap templates; the project template comes with five views and 16 statuses. Its pricing page showed two plan sets on 12 October 2026: Unlimited at $7 a user a month billed yearly ($10 monthly) and Business at $12 ($19), and a second set with Core at $8 ($12 regular price) and Business at $17 ($25). Check which set your account sees before budgeting. On the Unlimited plan a one-user workspace gets 5 guest seats plus 2 for each additional paid user; Business gets 10 plus 5. AI add-ons cost extra (Brain AI $9 a user a month). Best for: agencies that want SEO templates, time tracking and dashboards in one tool. Limit: the plan and AI pricing is complex enough to need a careful seat count.
Asana: clean client collaboration
Personal is free for one or two people. Starter is $10.99 a user a month billed annually ($13.49 monthly) and Advanced $24.99 ($30.49). Paid plans include unlimited free guests, which Asana describes as a way to bring in clients and contractors, plus unlimited automations from Starter. Asana publishes free SEO roadmap, SEO strategy and website audit templates. Estimated and actual effort tracking sits on Advanced, and AI usage is billed separately per request. Best for: agencies that want clients inside the project without paying for their seats. Limit: effort tracking needs the Advanced plan.
monday.com: visual boards, bought in bundles
Free covers up to 2 seats and 3 boards. Basic is $9 a seat a month billed annually ($12 monthly), Standard $12 ($14) and Pro $19 ($24). Seats are sold in bundles: the seat selector starts at 3 and moves in steps of 5, so a 7-person team pays for 10 seats. Basic and up include unlimited free read-only viewers, which suits clients who only need to look; guest access arrives on Standard. Automations start at 250 actions a month on Standard and 25,000 on Pro, and time tracking is a Pro feature. Best for: teams that want a visual board clients can read. Limit: seat bundles and Pro-only time tracking raise the real price for small teams.
Teamwork.com: built for client services
Teamwork.com is aimed at agencies billing time. Free covers up to 5 users and 5 projects. Paid plans start with Basics at $9.99 a user a month billed annually with a 3-seat minimum, then Accelerate at $24.99 with a 5-seat minimum, which adds time budgets, retainers and client invoicing. Client users are included at no extra cost, and time logging is available from the free plan. There is a 14-day trial without a card and a published SEO planning template. Best for: agencies that sell SEO as monthly retainers and need to see hours against each one. Limit: annual prices are shown; we could not confirm the monthly-billed price on the pricing page.
Trello: the lightest option
Free allows up to 10 collaborators per workspace and 10 boards, with 250 automation command runs a month. Standard is $5 a user a month billed annually ($6 monthly) with 1,000 runs, Premium $10 ($12.50) with unlimited runs, and Enterprise $17.50 billed annually. Single-board guests are allowed; multi-board guests are billed at the member rate. Trello has no SEO template of its own; the nearest is a blog content schedule. Best for: freelancers and small teams who want a simple kanban for content and outreach. Limit: it is a board, not a retainer or reporting tool.
Notion: docs and tasks together
Free has limits once two or more members join and allows 10 guests. Plus is $10 a member a month billed yearly ($12 monthly) with unlimited guests, and Business is $20 ($24) and includes Notion AI. Custom database automations are a Business feature; Free and Plus get basic buttons. Notion's template marketplace lists SEO strategy and campaign templates, mostly from third-party creators, some free and some paid. Best for: agencies whose SEO process lives in documents, briefs and wikis as much as in tasks. Limit: recurring task automation needs Business, and the SEO templates are not Notion's own.
Basecamp: flat price, simple client view
Basecamp charges per account, not per user. Free covers one project and up to 5 users; Freelancer is $25 a month (3 active projects, up to 20 users); Studio $59 (10 projects, unlimited users); Pro $99 (25 projects); and Unlimited $299 a month billed annually. Basecamp's pricing page says every person you add is counted, but Studio and above include unlimited users, so clients are free from Studio. Time tracking is on Studio and above, and the trial is 30 days without a card. Best for: agencies with many client stakeholders who would make per-seat pricing expensive. Limit: projects are capped per plan, so count active clients, not people.
What a team of five with ten clients pays
At yearly list prices, before add-ons: Trello Standard about $25 a month, ClickUp Unlimited about $35 (or $40 on Core), monday.com Basic $45 (bought as 5 seats), Basecamp Studio $59 (10 projects, so ten clients just fit), Asana Starter about $55, Notion Plus $50 and Teamwork.com Basics about $50. Add client seats where they are billed and the gap changes: Asana, Teamwork.com and Basecamp Studio let clients in without a paid seat; monday.com lets them view free.
A recurring SEO checklist to load into any of them
- Monthly: review rankings, traffic and Search Console coverage for each client.
- Monthly: run a crawl and log new technical issues as tasks.
- Monthly: ship the content and link work agreed for the month, each with an owner.
- Monthly: check what AI assistants say about the client for a fixed set of buyer questions.
- Monthly: send the client report, then file the client's questions as next month's tasks.
- Quarterly: revisit the keyword and prompt sets, and retire tasks that no longer earn their time.
Where AI-search work fits
Project tools track who does what. They do not check AI answers or draft the fixes. Fenn covers that part for agencies: it asks ChatGPT, Claude, Gemini, Perplexity and Grok a client's buyer questions, turns gaps into site fixes with a ready prompt and drafts of the missing pages, and holds everything in a review queue where owners and editors approve before anyone publishes, with an activity log of who did what. You or the client's developer publish the approved work, and checks run when you start them rather than on a schedule. The Agency plan is $199 a month for up to 25 websites, set up after a demo. Most agencies keep their project tool and link each approved Fenn item to a task.
How to choose
- Decide how clients take part: view only, comment and approve, or not at all. That settles whether guest pricing matters.
- If you bill retainers by hours, shortlist the tools with time tracking on the plan you can afford (Teamwork.com, ClickUp, Basecamp Studio).
- Count seats the way the vendor sells them: bundles at monday.com, minimums at Teamwork.com, flat accounts at Basecamp.
- Load one client's real monthly checklist during the trial and run it for a full cycle before deciding.
FAQ
What is the best project management tool for an SEO agency?
As of October 2026, ClickUp and Teamwork.com fit SEO agencies most directly: ClickUp publishes SEO project templates, and Teamwork.com includes free client users and retainer tracking on Accelerate. Asana is a strong choice when clients should collaborate inside projects, since paid plans include unlimited free guests.
Is there a free SEO project management tool?
Several have free plans: ClickUp Free Forever, Asana Personal (one or two people), monday.com Free (2 seats), Teamwork.com Free (5 users, 5 projects), Trello Free (10 collaborators) and Basecamp Free (one project). All limit features or projects, so most agencies outgrow them at a few clients.
Which tools let clients see progress without paying for a seat?
Asana (unlimited free guests on paid plans), Teamwork.com (client users at no extra cost), monday.com (unlimited free read-only viewers from Basic) and Basecamp from the Studio plan (unlimited users). ClickUp includes a set number of guest seats per paid user.

Not as a full replacement. Suites such as Semrush and SE Ranking handle research, tracking and audits; the task list, owners and client approvals usually live in one of the tools above.
Put this to work on your own website.
Fenn finds what your customers ask, drafts the articles and site fixes, and measures what ChatGPT, Claude, Gemini, Perplexity and Grok say about you — with every change waiting for your approval.
